Cost per guest calculator (party & event)

Split an event's total cost by the number of guests and see the spend per person.

Cost per guest
$75.00
Budget with buffer$3,300.00
Per guest with buffer$82.50

The buffer covers surprises and extra guests. To budget from scratch, add food, drinks, venue, decor and service and divide by guests.

How the calculation works

Cost per guest is total cost ÷ number of guests. The buffer multiplies the total by (1 + buffer%) so you aren't at the edge if more people or expenses show up.

Examples

  • Total cost R$3,000 for 50 guests: R$60 per person.
  • With a 15% buffer: budget becomes R$3,450 (~R$69/guest).

Frequently asked questions

How much buffer should I use?

10% to 20% is usually prudent for parties — it covers extra guests and price increases.

What goes in the total cost?

Food, drinks, venue, decoration, sound and staff. Add it all before dividing.

How to split among organizers?

Take the total and divide by those paying — use the bill-splitting calculator.

What is always missing from a party budget?

Ice, disposables, venue fees, transport and setup staff — together they usually explain the gap between plan and reality.

Why does cost per person fall at larger parties?

Because part of the cost is fixed. Venue rental costs the same for 30 or 60 guests, so it spreads across more people.

How much buffer should I budget?

Between 10% and 15%. Unexpected plus-ones and last-minute items happen at nearly every event.
